Evolve and deliver recreational soccer programs for grades Pre-K through 8th grade. Organize programs, registration, marketing efforts, parent communications, field design and maintenance, and equipment purchases for two season per year, spring and fall. Partner with coaching vendor CSA to set coaching strategy and approach for rec, assign coaches, set curriculum, and address feedback from program participants.
Attend monthly WMSC board meetings to provide rec update and assist with board activities in travel, development, and other programs and events.
Rec Program Lead Commitment:
Spring: February to June 10 -15 hours
Fall: Late June to October 15 - 20 hours
Partner with our CSA Lead Trainer at one of our locations to help direct parents / kids at the start of sessions and answer questions. Helps design and communicate field lining and equipment expectations to the board. Validates that fields have been set up to plan prior to the beginning of the season.
Rec Field Lead Commitment:
Spring: 4 to 8 hours total, March / April
Fall: 4 to 8 hours total, August
Lead and distribute communications for our recreation soccer program across all age groups. Builds registration demand with basic marketing in local schools and social media campaigns. Includes program updates, weather disruptions and other parent communications.
Rec Communication Lead Commitment:
Spring: 4 to 8 hours, Registration in February / March ; 2 to 4 hours (Season April / May)
Fall: 4 to 8 hours, Registration late June / July / August (Season September / October)
Creates the registration on our SportsConnect platform for each season, create teams, set the schedule and manage content updates to our rec pages on the WMSC website. Includes team submission to NJYSA each season.
Rec Registrar Commitment:
Spring: 8-10 hours, Registration Late February / March; 8-10 hours (Season April)
Fall: 4 to 6 hours, Late June / July; 8-10 hours (Season August)
Set up the annual referee training with our head referee, order and distribute referee equipment, organize the weekly referee schedule and handle payments to our high school referees.
Rec Referee Coordinator Commitment:
Fall Only: 4 to 6 hours, late August, September / October

Travel Registrar Commitment:
Fall: 10-20 hours, Late June / July; 8-10 hours Season August
Spring: 4 to 6 hours, Registration Late February / March; 10-20 hours Season April
Manage the travel tryout process from registration, attendance at tryout events, player offers and team formation. Work with the Travel Registrar to create registration buckets. Export player information out of system into Excel to manage tryout attendance, tryout player ID numbers, etc. Work with CSA to communicate travel offers and forms teams.
Travel Tryout Coordinator Commitment:
Spring: February to April -25 hours
Organize and plan monthly WMSC board meetings. Partner with the WMSC President and board members to define the agenda, confirm board members availability for each meeting, reserve locations when in person, and record and publish meeting minutes.
Additional duties include organizing the WMSC shared drive, following up on actions from board meetings, and assisting with special events and projects as needed.
Meeting Secretary Commitment:
Approximately 4-6 hours, Monthly, Additional hours for special projects as needed.
Help with website changes, email services, Google Workplace administration, website domain names, DNS,etc. If you are an IT professional this is “vanilla” type services to help WMSC function during this modern era of web services. Lots of opportunities to improve processes etc.
Tech Services Commitment:
Approximately 20-30 hours / calendar year
Lead the effort to find new volunteers to become part of WMSC to assess in the various roles listed on this web page. Includes introducing yourself to WMSC parents on the sidelines, handing out Volunteer cards and fielding inquiries.
Volunteer Management Commitment:
Approximately 10--20 hours / calendar year
Mendhams- Ralston, India Brook, Botti and Firehouse Courts- Work with town recreation committees to secure field usage via yearly application process. Coordinate with WMSC landscaping to line, town maintenance resources to service grass e.g. cut, repair, etc as well as manage inventory of on the field assets e.g. goals, nets, benches, etc. Idealy someone from Mendham Township.
Mendham Facilities Management Commitment:
Approximately 20-30 hours / calendar year
Chesters - Chubb, Black River, Highlands Ridge- Work with town recreation committees to secure field usage via yearly application process. Coordinate with WMSC landscaping to line, town maintenance resources to service grass e.g. cut, repair, etc as well as manage inventory of on the field assets e.g. goals, nets, benches, etc. Idealy someone from Chester.
Chester Facilities Management Commitment:
Approximately 20-30 hours / calendar year
Washington Township - Palmer Park Fields, Harrington Park Fields, Rock Spring Park- Work with town recreation committees to secure field usage via yearly application process. Coordinate with WMSC landscaping to line, town maintenance resources to service grass e.g. cut, repair, etc as well as manage inventory of on the field assets e.g. goals, nets, benches, etc. Idealy someone from Washington Township.
Washington Township Facilities Management Commitment:
Approximately 20-30 hours / calendar year
Pre covid WMSC had dozens of local sponsors. Some would sign up via the website, others with solicitation. We would have banners/signs displayed on Rec fields, Rec teams named after them, and several other digital marketing communications that we would advertise to our community on their behalf including a digital sponsor booklet that was sent out each year. Looking for a sponsorship lead to get this fundraising arm of WMSC off the ground again. Large opportunity for growth and developing more robust sponsor relationships and programs.
Uploads Rec registrations and assigns player numbers into uniform provider portal on a weekly basis (currently soccer.com). First round batch uploads one month after registration opens, then additional players are entered on a weekly basis leading up to Labor Day. Also helps facilitate upcycling any donated used uniforms and selling approximately 20 new sets mainly via “West Morris Sports Equipment Exchange” Facebook Marketplace Group.
Rec Uniforms Commitment:
Summer Only: 1 hour per week (all online)
Maintains vendor relationship with current uniform provider (currently soccer.com), and works with them to coordinate brand styles for training gear, uniforms and fan gear and forecast program participant numbers. Uniform styles typically change every 2 years. Assigns player numbers and batch uploads all Travel team rosters to uniform provider portal in Summer for purchasing communications with parents. Also individually manages any late player additions to rosters and communications. Helps compose communications about uniform purchasing deadlines to parents and gathers uniform/fan gear imagery for social media communications. Every third year, will help facilitate a uniform donation drive to a local club in need.
Travel Uniforms Commitment:
Summer/Fall: 8-10 hours total (plus approx. 5 extra on a new uniform year)
Winter/Spring: 4 hours
Coordinates all equipment purchases for both Rec and Travel programs such as nets, soccer balls, referee jerseys + whistles for Rec program, med kits, ice packs, tents, signs, etc. Sources best vendors and pricing for various equipment and establishes tax free accounts. Ensures we use all promo dollars and loyalty points from uniform brand and vendor on needed equipment in a given calendar year. Records all purchases made in google spreadsheet for Treasurer.
Field Eqt. Purchasing Commitment:
Approximately 10 hours / calendar year
Works with uniform vendor to determine fan gear line (currently soccer.com). Helps compose social media and website marketing for fan gear sales. Ensures we use all promo dollars and loyalty points from uniform brand /vendor on needed equipment in a given calendar year. These promo dollars can be used to help expand Rec Tent merchandise sales (Rec Jerseys, hats, scarves, bags, magnets, etc.) Coordinates WMSC gear for parent coaches, or player gifts such as training jerseys / GK jerseys / etc. if we have enough leftover loyalty points / promo dollars.
Merchandise Commitment:
Approximately 5-6 hours / calendar year. Expanding Rec Tent sales could add additional hours.
This is a classic graphic designer skill set. A person who can create, edit art files for use on uniforms, merchandise, websites etc. Creation of signage, flyers, email graphics, etc. Knowledge of Canva for social media design production ideal.
Graphic Design Commitment:
Approximately 10-15 hours / calendar year
Are you on your phone all the time, like to take pictures and share them? Create organic and paid posts on Facebook and Instagram, highlighting WMSC program marketing, tryouts, team accomplishments, etc.
Social Media Commitment:
Approximately 10-20 hours / calendar year
Ensure all invoices / expenses are met in time and in full.
Treasurer/Accounts Receivable Commitment:
Approximately 50-60 hours / calendar year with some limited increases during “budget discussions” (February) and tax form preparation (May)
Monitor revenue reports on a timely basis from SportsConnect website, particularly around major payment deadlines, and detail the breakdown from each major program .Make sure all accounts are current and send payment reminders as needed
Process refunds and/or discounts/financial assistance, following consultation with the other relevant board members.
Accounts Payable Commitment:
Approximately 20 -40 hours / calendar year
